Each officer reviewed their upcoming responsibilities for April:
- For President, Amanda noted that she met with Debby Lee on the guild programming. They agreed to focus on the meeting programming first, then workshops.
- For Vice President, Danica indicated the two companies have offered patterns as retreat sponsorship prizes. Items will be sent to Charlotte Blum’s house as she is coordinating the retreat.
- For Treasurer, Adrienne noted the monthly report is pending with a plan to resolve the broken spreadsheet by April 29th; the officers discussed plans for Treasurer duties during Adrienne’s brief absence; the 2021 audit was completed and remaining audit items need to be addressed; an audit for the 2020 financials will be performed in the summer of 2022; the guild taxes have been accepted; C&% books will be ordered; recurring payments have been set up for the new storage place; and a second donation of approximately $25 has been sent for the mini-mod swap as the first donation amount conversion rate was less than the $100 US dollars promised.
- For Secretary, Pam noted that the website, calendar and minutes are current; and the April newsletter was distributed to members on April 1st.
Next, Amanda reviewed the Committee Chair reports: (i) for Membership, the first Secret Stitcher program swap item (a postcard) completed at the end of March; the next swap item is in June (a fat quarter); Pam agreed to draft a photo presentation of the Postcard Swap for the next meeting; (ii) for Social Media, the Slack Goal of the Month is patterns and books; the Committee plans to spotlight members and local quilt shops through social media; (iii) for Community Outreach, slight updates to the the workday schedules were made; for June onward, the workdays will be on the first Saturday at the South Huntsville Library; (iv) for Fundraising, Danica has a volunteer to assist with fundraising efforts and she continues to work with Green Pea Press on the ‘quilty quotes’ fundraiser; Amanda was generous with her time and skills to assist with the graphic designs (v) for Programming, Amanda noted the first programming presentation will be on preserving and documenting quilts; members were asked to send labeling techniques to Debby; Amanda noted a MQG article on quilt labeling.
Amanda noted that only 8 members completed the survey regarding a proposed retreat price increase and with no comments on the virtual retreat component.
Amanda noted that the next DEA&I Committee will be on April 23rd from 4:00 PM to 6:00 PM. The officers discussed an issue of emails being received at an incorrect email address.
Ongoing guild events were discussed, including: (i) Bingo - Adrienne will send out new Bingo card the week of the 25th and reminded that members should note when Bingo is obtained; (ii) Lone Robin - Pam indicated she is working on the May design element; (iii) Danica noted the April 30th MQG webinar will be on Collage Appliqués; and (iv) Board Game Night will be held in June.
The officers organized the May 17th general meeting program of Member Swap and Destash to be held at Stovehouse. The meeting will also be held via Zoom. Each member should bring fabric, books, patterns, notions, etc. for the destash. Members will set their own prices and handle their own payments.
The officers discussed the Send a Message Challenge with Amanda agreeing to draft the presentation materials. Challenge materials will be revealed in July.
Amanda noted several resources of quilters efforts to support Ukraine. It was agreed that an article would be placed in the newsletter.
In-person events were discussed, including (i) Drop & Swap to be combined with the May Sewing Saturday at S&R Sewing and Vacuum in Huntsville; a virtual event will also be held starting at 11:30 AM. Amanda discussed purchasing a web cam to use during the in-person meetings. (ii) Danica indicated she will check with the Richard Showers Community Center about possibly using the location for monthly guild meetings tarting in the fall. The officers discussed logistics for in-person meetings, including the Sew & Tell portion; it was recommended that items should be photographed with photos placed in Google Photos. Officers discussed the proposed COVID color coding system.
