The following informational updates were provided:
- Guild Communications: Newsletter, website and calendar are current
- Finances: Bank updates reviewed; audits to be performed; ledger items to be complete
- Membership: 30 members
- Community Outreach: Spoke with the director at St. Jude’s; they were thrilled to receive the 32 quilts last month
- National: Quarterly Leader update on May 8th at 7:00 PM
- Secret Stitcher Getting to Know You: Launched at April meeting; program runs May to September; consists of 20 questions with a maker project swap at the end
- Meeting Locations: Board members to update spreadsheet with possible meeting locations
- PayPal: Beverly is trying to figure out how to reorganize the account so it is in the name of an entity instead of an individual
- Retreat Updates: As of April 30th, 7 registered for in-person and 1 person for at-home; logo design is mocked up; next to approach sponsors and plan goodies bags/prizes
- Mini Swap with Pensacola MQG: Program in underway; 8 members have registered
- Celebrate Quilting: Richard Showers Center has the event on their calendar; we will start advertising
Next, the officers discussed operations issues, including:
- Monthly Financial Report: Banking account information reviewed
- Password Management Program: Currently on hold
- Community Outreach Assembly Day: To take place of the regularly scheduled Sewing Saturday; need to confirm with Publix that the space is available
- The Sew-Signment Sale: Registration is open with 5 sellers as of 05/04/2023; the poster has a QR code to take you to the payment page; members were requested to post flyers at community message board locations
- The Shop Hop Bop: Eight members participated; we went to three stores - The Dancing Bobbin, Stitcher’s Garden, and Stitcher’s Playhouse; we had a catered lunch and did a shopping show & tell
- A Serger Workshop is tentatively scheduled for July 22nd; a location will need to be found; maximum of 7 participants; cost includes the instruction, location, and material kit (thread, fabric, workbook)
- June Program: Debby to reach out to Ben Darby regarding a trunk show; also possibly reach out to Danica’s Chinese language program instructor on a short program about quilting in China
- In-Person Meetings: Add a social time from 5:30 PM to 6:00 PM
- Volunteer Sign Up Process: The Google form was reorganized to better streamline the tasks by event; it was suggested that printed copies be brought to the meeting for folks to sign up for volunteer projects
- The Celebrate Quilting subcommittee has met several times; the event is confirmed for September 16th at the Richard Showers Community Center; the raffle quilt is being pieced; an event program with sponsors/vendor advertisements was discussed
- Website Redesign: Pam has set up her own Square account, but needs to be linked to the guild account
Next, the officers discussed current activities for completion prior to the next general meeting, including:
- Debby will work with Ben Darby on a June meeting
- Promote volunteer opportunities
- Announce the Potluck Party Auction Item Challenge
