Proposed Schedule Nomination Survey--Proposed Dates Oct 17th-23rd Contact nominees--Proposed Dates Oct 24th-30th Election Survey--Proposed Dates Oct 31-Nov 6th Encourage committee heads Website Goal to have it updated by end of the year We met at 1892 E with 4 present: Amanda, Rachel, Lisa and Mary. A framed certificate of thanks will be given to Threaded Needle Too for the workshop he presented.
We will take a road trip to Wilson’s in Boaz on Sat. July 15, leaving Amanda’s early and having brunch when we get there so we can undivided time shopping their sale. We will do our auction through instagram and Salima will photograph our items for posting. Our meetings will be at Threaded Needle Too starting in July on the 3rd Tuesday, July 18 next month. Any QuiltCon presentation will be focused on how OUR guild interprets modern quilting. Hopefully, we will have pictures of our own quilts to exemplify each point. Mary will provide contact information from Athens and Madison quilt guilds so that we can possibly get together with their officers to get acquainted. Amanda reviewed the results of the survey. There were 10 respondents out of 17 members. The Make-It-Modern challenge deadline was extended to August. Only 2 officers met this month, but we covered a lot.
There need to be more trials with the cheap rotary blades before we order in bulk. We have a PO Box at 645 Wynn Dr NW in Huntsville, but we need to verify the zip code for its address. Programming schedule is a work in progress. We put off discussion of a QuiltCon presentation until the next meeting. Challenges are also works in progress. Demos for meetings were scheduled: June, Reverse Appliqué (Trina); July, Cutting Tools (Lisa); August, Accurate Seams (Amanda); and sometime, maybe, Accuquilt (Saleemah). Word is out to the two Athens quilt guilds and the Madison guild about our retreat at Red Rooster in March. We’ll see if we get any interest. Amanda is planning a survey for our members to find out what interest, if any, we have in a variety of items/activities for the retreat. It may involve an increase in the cost of attending the retreat. Amanda, Rachael, Lisa, Sherry and I met again at 1892 East at 10 AM. Lisa reported that the tax form(s) are filed.
The images of our new logo are not available yet. Mary and Lisa will have the modern quilting slideshow ready in May. Maybe. The main library display window is booked for November 2018. We will test the new, cheap rotary cutter blades at a Sewing Saturday and order more if they are good. Mary is still trying to find someone to do a workshop on Free Motion Quilting on a Sewing Saturday. Lisa is doing the same for a Machine Maintenance program. And Sherry is working on an EQ7 Study Group. We are on Zazzle and have our first purchase! Our many challenges are progressing. Through the color, scrap, make-it-modern and Christmas-in-July challenges, we will be making small items (mug rugs, minis etc.) to sell. The non-quilt-item challenge is TBD. Demos for meetings are as follows: May, Accuquilt; June, cutting tools; July, accurate seams. The PO Box has not yet been rented. We are semi-booked for a retreat at Red Rooster (for minimum of 12 people) on March 16-18, 2018. Cost is $195. Mary will contact the two Athens guilds and Madison Station Quilters to see if there is any interest in joining us. Amanda opened the meeting at about 10:15 at 1892 East. Lisa, Rachael, Sherry, Amanda and Mary were present.
The transfer of the bank account is final and Lisa has checks with her address on them. We need to investigate a PO Box so the checks don’t have to be reprinted each year. There are 17 current members in RCMQG. The Huntsville Public Library will include us on the slide show in their lobby, which would be good advertising for our guild. Our logo information has gone to Trina’s friend. We will use Mary and Lisa’s presentation on “modern” quilting for a club program as well as programs for other quilt guilds, if asked. We will prepare both 20-30 minute and 10-minute versions. The Threaded Needle will do a Machine Maintenance Workshop (any day except Tuesday) sometime after April. Mary will look into doing a window display for our guild at the Huntsville Main Library. We decided that the officers of the guild could spend guild money for guild projects/supplies up to $50 a month in up to $25 increments. However, any purchase greater than $75 would need the approval of the membership. We decided that lanyard clips and rings at 50 for $12 were the preferred nametag holders. We decided that our scrap challenge would exclude purchased fabric and members would bring scraps (within upper and lower size limits) to the April meeting. We decided that a variety of non-purchased prizes would be available for challenges and charity blocks. Lisa can make pressing cloths and pincushions, and she will donate items left over from a previous business as prizes. Amanda proposed a schedule for the rest of the year for meetings, sewing Saturdays, programs etc. The schedule will be posted when final. We decided that a dues discount would apply to members who pay in November. Amanda started our meeting at about 10 AM at 1892 restaurant. Rachael, Lisa and Mary were also present.
Lisa, as our new treasurer, will be part of officers’ meetings. The following statement is what RFCU needs in order to update our account signers: “The officers of the Rocket City Modern Quilt Guild are directing Redstone Federal Credit Union to add the name of our 2017 treasurer, Lisa C. Cox, to the account. We ask that Deb Richey’s name be removed from the account. We are leaving Diane M. Lyles on the account for the transition period.” This coincides with our wishes. Trina, our new webmaster, will serve as a committee chair. In Trina’s absence, Amanda reported that Trina recommended that we stay with Weebly, and the officers concurred. Trina will update the website when the new logo is ready. It was agreed that pictures of charity and Show-and-Tell quilts be uploaded. Retreat signup is low. The Georgia guild showed interest from only 2 members. Mary will contact the Athens guild, and the Madison Station Quilters will print our retreat information in its next newsletter. Mary will also get RCMQG on 3 Hens and a Chick’s list of local guilds. We agreed that the officers would meet regularly the last Sunday of the month at 1892 at 10 AM. Amanda reviewed the survey results. 13 members returned the survey. We will concentrate our activities on the top 10 items for Programming and top 3 for Fundraising. Rachael will pursue charity blocks/quilts; Amanda will follow up on fund raisers possibly using Zazzle; and Lisa will look into programs. We have a contact (a friend of Trina’s) who will produce our logo for us free. Since Amanda has experience making logos, she will pursue this venture with the regulations from our national guild in mind. The officers reviewed logos of other Modern Quilt Guilds to provide guidance to Trina's friend. At about noon Amanda started the meeting by reviewing the agenda and asking for any additions. There were none.
Officers’ Procedures: There will be an officers’ meeting before each general meeting to set the agenda and cover any other additional topics. The minutes of the officers’ meetings will be posted on Facebook. Officers’ Responsibilities: Co-presidents: run meetings, record signatures on the bank account, set goals, articulate the vision of the club and communicate with the national guild. Rachel will continue to do charity block design and instructions until we can establish a committee to take over this responsibility. Vice President: support the presidents, act as point of contact for committee chairs, maintain membership roster (until such time as we can establish a membership committee), add/remove people from Facebook account, post general warning message on Facebook when removal from Facebook is eminent due to non-payment of dues (Facebook duties may be temporary until we can establish a web master aka Facebook chairman), and pass dues payments to the treasurer. Treasurer: deposit dues payments, buy supplies, file tax form(s), maintain account(s), and file whatever’s necessary with national guild. Secretary: take minutes at officers’ meetings, take minutes at general meetings and post both on Facebook; monitor email account and forward relevant information/requests to appropriate officer in a timely manner. Mary will learn how to post show-and-tell photos and meeting minutes on Facebook. Other Responsibilities: As the club grows, we hope to establish several committees and reassign some of the above duties to these chairs: for example, membership, webmaster, charity … including block definition and instructions, quilt assembly and prep for distribution, and distribution of charity quilts. Fund Raising: Amanda will produce a survey for the membership to decide what fund raising projects/programs they would like AND participate in. Logo: Amanda will find out what restrictions the national guild might have on the design of a logo for our club. We may hire a designer to produce some samples logos for the membership to choose from. Due to lack of time we decided to establish the agenda for the Jan. 12 general meeting online. |
